Faculty & Staff: Preapplication Processing
Preapplications and International Applicants
All of preapplication requests are handled outside of the Banner and WEBI environment and therefore we have to track and manage them internally. Our website provides a way for departments to dynamically review and track all of their international preapplicants.
Approve/Deny Form
This form is used to approve or deny any pending preapplications submitted by prospective international applicants using our online form. You can use this form to:
- Browse through all your pending preapplications (one at a time) displaying all information submitted by the preapplicant. You can browse them online or print them off for later review.
- Approve or Deny the preapplication (or leave it in a pending status until you reach a decision)
- Use the Quick decision button to review a specific preapplicant if you know their preapp ID number.
Decisions update our database immediately. Preapplicants are notified once a week of the department decision via email (however they can see the updated status at any time using the request status search form). Once a decision is made you can not undo it using this form. Should you feel you have made a mistake please contact Jonathan Adams (862-3000 or email) at the Graduate School with the preapplicants full name and preapp ID and what the correction is.
Summary Review Report
This report provides a shorthand summary version of all of a departments, preapplications created since September 1st, 2003. When duplicate requests exists it only returns the most current date for the decision status being searched. The fields are:
- Department
- Status (All, pending, approved or denied)
- Start Date (it will then pull any record greater than or equal to that date)
The report shows the Preapp ID, Name, Nation, Citizenship, email address, program, year applying to, the create date, the current status and, if a decision was made, the date the preapplicant was notified of that decision.
If you click on the DETAIL button a new window will open up and display a printable version of that persons submitted preapplication. The DECIDE button should only be used for PENDING preapplicants. This button will open up the approve/deny form, in a new window, for just that one record.
This report provides a very fast way of looking at all your open preapplications and then making decisions on them fairly quickly. Be aware that if you do this, and make a decision, you will need to refresh the summary report if you want to see that decision reflected in the report.
Request Status Search Form
Use this form to search the entire database of any preapplications that were entered online. This report is also used by the preapplicants themselves so it does not contain any ability to make decisions. It is useful if you only know a preapplicant's name and are trying to find out their current status.
All the fields are optional, are not case sensitive, and must be alpha characters (meaning if searching for Wang-Chu just search on "wang" as you can't enter a hyphen). When searching it is best to enter a first and last name keeping in mind they can often be in reverse so try mixing the two. You can also search on a partial name as well.
For example if searching on just the last name of "Jiang-Xiu" you might just enter jiang or xiu and it would pull anyone who had those characters in their name. The other fields let you fine tune it to just a certain status and/or a specific date range.
