Tips and Tricks

* You can save the output of the reports in excel spreadsheets.  This can be useful for doing word and label merges or copying email addresses for a mailing.

* If you lose the little refresh icon on your WEBI page you can hit the browser refresh window to get it back.

Grad WEBI Reporting & Action Sheet FAQ

This page is for use by USNH Faculty and Staff who are using WEBI to run reports and Action Sheets out of the Graduate School Reporting Environment.  It is meant to provide a simple set of common questions and answers to various aspects of running our WEBI reports.

This page is still under development.  One thing I hope to add are sample screenshots of some of the reports along with a brief summary of what they are used for, which I will post on this page once (if?) I find the time.

Please note that if you are getting a WEBI account for the first time you will need to attend general CIS WEBI training.  After you complete and submit the application form, and it is approved, then MR Reporting folks will be in contact to arrange training for you.  After you have your training you will then be able to use our new reporting area.

Already have an account and just need access to the Graduate School Reporting Area?

Have Your WEBI Account and Need Some Training on the Graduate Reporting Environment and/or Action Sheets?

For those departments who missed our information session on 4/29 Jon will be providing limited training. Once you have your WEBI account you can then email Jon directly (jonathan.adams@unh.edu) or call (862-3003)  to set up a private training session. Each session will be for 1-4 people at a time, lasting 30-60 minutes and will only be held at Jons office in Thompson Hall Room 111.

Email Jon at jonathan.adams@unh.edu and include your comments, questions and whatever else you think is needed.  Note that if you have a question about a specific report please include the complete name of the report, including the tracking number at the beginning of the report name.

How do I get help?

If you need help on how to interpret the content of a report, on the data that is being displayed, or what the report is for - then you should contact Jon at the graduate school.    If you are having technical difficulty then contact the help desk.

Want a good overview of each of the reports provided?

Run the WEBI UNH Grad School Published Reports report. It is located under category “GS90000 – Grad Miscellaneous” and is called “GS90000 – UNH Grad School Published Reports”.  Here is that report in PDF as of April 30, 2008.  Please note that as new reports are developed this report will change - so it is best to run it as needed directly in WEBI.  Important: This report shows ALL of our reports, including ones that you may NOT have access to.  The report indicates the security levels for each report.  Departments are security level 3.

We have put out a lot of new reports, as well as the ones we use to provide on our website, so if you have any questions on how to use them or what they are for feel free to ask our office (i.e. Jonathan).

Forgot where to login to WEBI? 

Use the “Enterprise Systems Gateway” page (link below) and then under the “Gateway Quick Links” select “Access Web Intelligence”: http://www.usnhgateway.org/

What will happen to the old website reports and why convert to WEBI?

They will continue to run for a few months and then most of them will be turned off.  As I turn them off they will get replaced with a message that the report has been converted to WEBI.  Any reports not converted will continue to be maintained on the website. 

I do not have the time or resources to maintain TWO reporting environments and the WEBI version is so much more powerful, flexible, and better supported, that it was the obvious choice.

What about Preapplications?

They will remain on our website.  Since preapplications are NOT part of BANNER they can not be included in the WEBI reporting environment.  The processing of preapplications is not being changed at this time.

 

Action Sheet How-To/FAQ

Overview:

Our office will be switching over to a new process for generating action sheets for departments.  Below are some of the steps needed to run action sheets and how to use the reports.  To view what the new action sheet looks like please look at our sample version.  The basic process is that our office will code all the action sheets each day.  The following morning we will email all the departments that had action sheets coded the previous day.  The department will then run the action sheets for that day, print them off, complete them, and return them to us.

Below is a quick walk through of the whole process using some made up examples.  Included are any useful tips on how to use this process.  Note that the new action sheets have a lot more information - things like test score percentiles, more demographic information, and special notes and comments.

Steps (using made up examples):

  1. Paula codes a bunch of action sheets, in Banner, on 4/28/08 for Education, Computer Science and History.

  2. On the next day, 4/29/08, Paula will send an email to Education, Computer Science and History informing them that they have action sheets ready for processing from the previous day (4/28/08).

  3. When the department gets this email they login to WEBI and run the report "GS24150 - Action Sheet Form by Department.rep" out of the graduate school reporting area (it is under the "Admissions" category of reports).

  4. When the report runs the department will be asked to enter their DEPARTMENT, a BEGIN DATE and an END DATE.  So History would enter "History" for the department and 4/28/08 for BOTH the begin and end date.  Then the report will generate all the action sheets for History that were done on 4/28/08.  See FAQ below  on why we provide a date range and when to use different dates.

  5. The action sheets can then be printed off and completed for the department.

  6. Action sheets get returned to Laurie Witham in our office.  They can be sent in campus mail, faxed (862-0275), scanned and emailed to us, or hand delivered.  There is also the option to save these action sheets in excel and do them entirely electronically - see FAQ below for more details.

Action Sheet FAQ:

  • Why A Date Range? We provide a date range so each department will have the ability to reprint any missed action sheets they might have missed.  This will let you get a couple days worth of action sheets or reprint one from weeks or even months ago.  If you just want one days worth of action sheets then just use the same date for both the begin and end date.
     

  • How can I tell what I entered for the prompts?  At the top of each action sheet the name of the department you selected and the dates you entered will be displayed.
     

  • What if I need an action sheet but can't get to WEBI?  For special circumstances our office can run the action sheets for a department and email them as a PDF file or send them in campus mail.
     

  • Can we do this all electronically?  While you can not edit any information through WEBI you can save the action sheets as an EXCEL file.  You can then update and make comments in that excel file and email it back to our office (Laurie Witham).  You just have to be careful to edit the cells, that have the information you want to add or edit, very carefully.  You can also fax a printed action sheet back to our office.  I also know of one department that can scan documents and convert them to a PDF file that they then email out.  This is also acceptable.
     

  • I am still confused - how can I get more help? The best way is to contact Jonathan Adams at the Graduate School and ask for a walk through - either in person or over the phone.
